When using web conferencing tools (such as Zoom, Google Meet, or Microsoft Teams) on your booking page, you can choose from two settings: allowing guests to select their preferred tool, or letting the system automatically assign the best tool based on availability.
By using the "System auto-assigns the best tool" feature, you can prevent bookings from concentrating on a specific tool—even if team members use different integrations. This allows you to optimize the distribution of appointments across your team.
Furthermore, when combined with the "automatic assignee assignment feature (round robin)" , the system will automatically assign the booking by taking into account the specific tools integrated by each participating member.

When guests select the meeting tool
This option is suitable when you want to allow guests to choose their preferred tool.
Host Settings
Open Edit Booking Page > Basic Settings tab.
Select "Add Web Meeting" under the "Location" section.
From the "web meeting tool" list, select the tools you want to offer as options.
In "Selection options," choose "Guests select the meeting tool" and click submit.
Click "Save" at the bottom of the booking page editor.
What guests see
After selecting a booking date and time, guests choose their preferred tool from those authorized by the host to complete the booking.
When "System auto-assigns the best tool" is selected (Team Plan and above)
This option is suitable when you want to prioritize the availability of hosts or balance the number of bookings across your team. The system automatically selects a tool from your list that the available host has already integrated for that specific time slot.
Host Settings
Open Edit Booking Page > Basic Settings tab.
Select "Add Web Meeting" under the "Location" section.
From the "web meeting tool" list, select the tools you want to offer as options.
In "Selection options," choose "System auto-assigns the best tool" and click submit.
Click "Save" at the bottom of the booking page editor.
What guests see
Guests will not see individual tool options; the booking proceeds simply as a "Web Meeting." After the booking is completed, the URL for the assigned tool will be automatically generated and included in the notification.
