The Meeting Poll allows you to create a meeting poll page for multiple guests to vote on potential dates.

First select a host for the meeting.

You can set up one person, or multiple people, or a proxy.

Also, in Duration, set the time required for the meeting.

Select multiple dates by checking the schedule, which will be the candidate dates and times for multiple guests to vote on.

※The maximum number of dates that can be selected is 40.

※The maximum number of guests who can vote is limited to 40.

Select the title and location (in-person, Zoom, etc.) to be displayed on the voting page.

Select the Attendance type.

Join the schedule: Host account participates in the meeting

Intermediary: Only guests who have voted will be invited to the meeting.

The ability to block appointments as tentative appointments (only if you are in the same room) and the voting status of guests can also be made public.

Click here for more information about tentative appointments.

Click here for more information about the publication of voters.

Set up the sending of invitations such as Google Calendar, which is linked to the system. In the case of mediation, the invitation is sent to the guest with the status of host not participating.

※The schedule in the invited calendar includes the host and guest as participants.

The description should include supplementary information and any required information.

Confirming the voting results

You can check it from the Pending tab of the Bookings list.

The schedule can be confirmed by checking the voting status and selecting a date and time to be determined, taking into account the voting status.

By confirming the date and time, an acceptance email will be sent to the participating guests.

Notification to Hosts and Guests of Schedule Voting

Hosts and guests will be notified as follows

Host

Notification when the date is confirmed (including location information such as web conference URL)

Guests (when the date and time they voted for is decided)

Notification when the date is voted

Notification when the date is fixed (including location information such as web conference URL)

Guest (if the date and time voted for was not decided)

Notification when the date is voted

Notification when the date is fixed (without location information such as web conference URL)

Details of notification to guests (in case the date was not decided on the date and time they voted for)

Users who have not made a decision at the date and time voted by the guest will receive a notification with no location information.

The following email will be sent when a decision is made on a date and time other than the date and time voted for by Test2.

About Intermediary

An intermediary function is a method of coordination between third parties in which the host does not attend the relevant appointment.

The mediation function has the following features

  • Meetings are held only for guests who have voted.

  • The host who acts as an intermediary is responsible for "checking the voting status" and "deciding the date and time".

The behavior when the intermediary function is set is as follows

  • The host is notified of the guest's voting status.

  • Only the guest who voted will be the participant in the email when the date is confirmed.

  • When a calendar invitation is made, the schedule is created with the host not participating.

Share by E-mail: About Sequentially

The format is that guests vote by email notification in the order in which they are sent.

You can set the recipients, the order in which emails are sent, and the content of the emails.

For sequencing, the notification will not be sent to the next guest until the designated guest has voted.

※ The host can skip the process and send it to the next guest.

Once all guests have voted, the date and time can be finalized and the schedule created.
