Customizing Notification Emails

How to customize the title and template text of the confirmation, cancellation, reminder, and follow-up emails. Rescheduling notification emails cannot be customized.

You can customize the reception completion email when a guest makes a booking.

Edit booking page > Workflow > Reception Completion Email

You can change the following email settings

  • Acceptance completion mail

  • Cancellation email

  • Reminder email

  • Follow-up email

Emails that cannot be customized

The subject and body of the following email are fixed and cannot be customized.

  • Rescheduling notification email (the "[Booking page name] has been updated w/Host name" email that is sent when a guest reschedules on their own, or when a host changes the date from the Bookings list)

Note that reminder emails and follow-up emails sent for the new date after rescheduling will use your customized title and template text as usual. If there is anything you want to tell guests after they reschedule, add it to the template text of the reminder email.

Canned text can be added to the content of the e-mail. It is possible to add original guidance by combining variables, headings, images, and more.

Inserting images

You can insert images into the canned text. Each image can have a click destination URL, so you can guide guests straight to a campaign page, a document, or any other page from your emails.

Images can be inserted into the canned text of the following three emails. Images cannot be inserted into the canned text of the cancellation email.

  • Confirmation Mail

  • Remind Mail

  • Follow Up Mail

How to insert an image

  1. Go to Edit Booking Page > Workflow and open the "Body" of the target email

  2. Place the cursor where you want to insert the image

  3. Click "Add Image" and select an image file

  4. Enter a "Click destination URL (optional)" if you need one

  5. Click "Insert"

  6. Click "Save" to save the setting

  • If you leave it empty, the image is displayed without a link

Notes

  • Inserted images and their links appear the same way in the preview, in test sends, and in the emails that are actually delivered

  • Images are stored per team. A duplicated booking page references the same images

  • The title and template text of the acceptance completion (confirmation) email are not applied to the email sent to guests when a booking is rescheduled. The rescheduling notification email uses a fixed format.

About the preview and test sends

The email preview under Booking page edit > Workflow, and the test send you run from that screen, both fill in fixed sample values so that you can check the layout. They are not the values you configured.

The sample values are as follows.

  • Address: Shinjuku1-1-1, Tokyo, Japan

  • Access: 3 minutes walk from the station

  • Phone number: 090-1111-2222

  • Guest name: Average Joe

  • Guest company: Acme Corporation

  • Date and time: from 10:00 the next day (the duration set on the booking page is applied automatically)

None of these are stored anywhere in your settings, so it is expected that you cannot find them by looking through the settings screens.

The email that is actually sent when a guest books uses whatever is registered under Booking page edit > Basic settings > Location. If nothing is registered there, the address, access and phone number are not shown.

The sender settings and any template text you customised are reflected exactly as configured, so the preview and test sends are reliable for checking your wording.
