How to disable guest cancellations and rescheduling? / Set a deadline for cancellations and rescheduling

You can configure settings for guest-initiated booking date/time changes (rescheduling) and cancellations individually under “Edit Booking Page” > ‘Workflow’ > “Cancellation or rescheduling by guests.”

For both booking date/time changes and cancellations, you can set whether to “On” or “Off.” If you select “On,” you can further choose whether to ‘Set’ or “Do Not Set” a deadline.

When setting a deadline, you should specify the time by which guests can reschedule or cancel their booking, using either the booking’s start date or midnight on the day of the booking as the starting point. Once this deadline has passed, guests will no longer be able to perform these actions.

Please note that even if a deadline is set, hosts can still reschedule or cancel the booking.


Set cancellation policies / Set cancellation deadlines

You can configure the booking cancellation policy and deadline by following the steps below.

  1. Open the edit page for the booking page where you want to set cancellation policies and deadlines.

  2. Click on Workflow.

  3. Select whether cancellations are allowed.

    If you want to prevent guests from canceling
    Select “Off” under “Cancellation” and click "Submit". If you want to disable cancellations, this completes the setup.


    If you want to allow cancellations by guests
    Select “On” under “Cancellation”.

  4. (Only if you allow cancellations by guests) Set a cancellation deadline.

    If you do not want to set a cancellation deadline, select “Do not set.” If you want to set a cancellation deadline, select “Set” and enter the deadline.

    In either case, click “Submit” to complete the settings.

When Using "Appointment start time" as the Start point

Example:

  • Start point: "Appointment start time"

  • Deadline: "1 Hour before"

If a booking is scheduled for December 18 at 2:00 PM, the guest will no longer be able to cancel from 1:00 PM on December 18 onwards.

When Using "00:00 on appointment day" as the Start point

Example:

  • Start point: "00:00 on appointment day"

  • Deadline: "10 Minutes before"

If a booking is scheduled for December 18 at 2:00 PM, the deadline is calculated from 12:00 AM on December 18. In this case, the guest will no longer be able to cancel from 11:50 PM on December 17 onwards.

After the Cancellation Deadline

Once the cancellation deadline has passed, guests will no longer be able to cancel their booking from the following pages:

  • Booking Details Page

  • Guest Dashboard (only if the guest has registered a guest account)

Hosts, however, can still cancel bookings manually from the Booking List.


Setting rescheduling policies / Setting rescheduling deadlines

You can configure whether booking rescheduling is allowed and the deadline for rescheduling by following the steps below.

  1. Open the edit page for the booking page where you want to set the availability for rescheduling and the deadline for requests.

  2. Click on Workflow.

  3. Select whether rescheduling is allowed.

    If you do not want to allow guests to reschedule their dates
    Select “Off” and save. This completes the setup if you do not want to allow rescheduling.


    If you want to allow guests to reschedule their dates
    Select “On.”

  4. (Only if you allow guests to reschedule their schedules)

    Set a deadline for rescheduling. If you do not want to set a deadline, select “Do not set.” If you want to set a deadline, select “Set” and enter the deadline.

    In either case, click “Submit” to complete the settings.

When Using "Appointment start time" as the Reference Point

Example:

  • Start point: "Appointment start time"

  • Deadline: "30 Minutes before"

If a booking is scheduled for December 20 at 10:00 AM, the guest will no longer be able to reschedule from 9:30 AM on December 20 onwards.

When Using "00:00 on appointment day" as the Reference Point

Example:

  • Start point: "00:00 on appointment day"

  • Deadline: "1 Day before"

If a booking is scheduled for December 20 at 10:00 AM, with the settings above, the guest will no longer be able to reschedule from 12:00 AM on December 19 onwards.

After the Rescheduling Deadline

If the deadline for rescheduling the booking has passed, guests will no longer be able to “Reschedule” the booking via the following pages:

  • Booking Details Page

  • Guest Dashboard (only if the guest has registered an account)

Please note that even if a deadline has been set, hosts can still reschedule the booking from the booking list.
