I want to link information on the source of incoming leads with Salesforce, CSV, and routing.

The values can be linked by adding the UTM (Urchin tracking module) parameter to the link on the booking page.

Follow the steps below to build the link for tracking.

First define the UTM code to be added to the link.

UTM Source
This is where you label which site the booked meeting came from. For example, if you are running a campaign on Twitter, add "utm_source=twitter" to the link. The sample is Google.

Once you have determined the UTM code to use, after the booking page link, add "?" and add the UTM code separated by '&'.

After adding UTM parameters to the URL, be sure to confirm them before submitting the booking. If you submit without confirming, the UTM parameters will not be applied.

UTM Linkage Destination

When UTM is set up, the following linkage and extraction is available.

  • Salesforce lead information

  • CSV export

  • Booking pages for routing destinations (when UTM parameters are added to the routing form URL; they are not passed on when the form is embedded. See “Using UTM parameters with routing forms” below)

  • Google Sheets (Team plan or higher; see “How to Configure UTM Parameters for Google Sheets Integration” below)

※Only UTM Source can be linked to Salesforce.

※CSV can download the information set in UTM. Click here for details.

Using UTM parameters with routing forms

If you add UTM parameters to the URL of a routing form, the same UTM parameters are passed on to the URL of the destination that opens after the form is answered (a booking page, or the URL set in “External URL”). When the destination is a booking page, the UTM values are saved as part of the booking when the booking is completed (you can use them in CSV, Webhook, Google Sheets, and so on).

The parameters are passed on only when the form is opened from its own URL without being embedded. In an embedded routing form, UTM parameters are not passed on to the destination.

UTM values are not saved in the routing form's answers themselves. There is no UTM column in the answer screen or in the answer CSV export.

The method of filling in answers automatically from the URL by making the question text the same as the parameter name is only for booking pages. It cannot be used with routing forms.

How to Configure UTM Parameters for Google Sheets Integration

To record UTM values in your spreadsheet, add UTM items in the Google Sheets integration settings (Team plan or higher). UTM values are taken from the booking page URL, so you do not need to add questions to the “Form” tab of your booking page. If you do, they are shown to guests as input fields.

In Form integration of the Google Sheets settings, by selecting Add Item, you can sync the following information taken from the booking page URL to Google Sheets: UTM Campaign, UTM Source, UTM Medium, UTM Content, and UTM Term.

This allows you to manage information about which campaigns or advertisements led users to make a reservation.

Setup steps

  1. In the first row (header row) of the spreadsheet you connect, add column names for the UTM values, such as “Source” or “Campaign”. Any easy-to-understand names will do. You can only add as many items as there are columns in the first row, so prepare the columns you need in advance.

  2. Open the Google Sheets settings. For settings that apply to all bookings, open it from Integrations in the dashboard. For settings per booking page, open it from the Integration tab of Edit Booking Page.

  3. In Form integration, which appears once a spreadsheet and a sheet are selected, click Add Item. Select “UTM Source” or another UTM item on the left, and select the column name you added in step 1 on the right. If items such as “UTM Source” are already in the list, just change the column on the right.

  4. Save.

Only bookings made after the setup, through a URL with UTM parameters, have UTM values recorded. Bookings made before the setup are not recorded.

About Salesforce

When a booking is made from the above URL, the Source will be automatically linked to the lead information.

Receiving parameters other than UTM

The five UTM parameters (utm_source / utm_medium / utm_campaign / utm_content / utm_term) are stored as dedicated fields on the booking, up to 255 characters each.

Any other parameter (for example ad_id) can be received by having it filled in automatically on a custom question in the booking form.

To set this up, add a custom question to the booking page and make the question text exactly the same string as the parameter name. For example, if the question text is “ad_id” and the URL contains ?ad_id=12345, the value 12345 is entered into that question automatically.

*Because this is a question on the booking form, it is visible to guests. If the value should not be shown to guests, we recommend using the UTM parameters instead (for example, the ad name in utm_content and the ad ID in utm_term).

Carrying parameters over from a landing page

Jicoo reads the parameters on the URL of the Jicoo booking page itself. There is no feature in Jicoo that moves parameters from a landing page URL onto the Jicoo URL.

You need to implement this on the landing page: read the parameters from the URL the visitor arrived with, and append them to the Jicoo link or embed URL on that page. Once this is in place, you do not need to change anything in Jicoo when you add or replace ads.

Parameters are picked up both when they are added to a booking button link and when they are added to an embed URL. They are also kept in the URL as the guest moves through the screens, and are saved with the booking when it is completed.

*There is no plan restriction on collecting UTM parameters. However, the Google Sheets integration, which records UTM values in a spreadsheet, is available on the Team plan or higher.
