I want to edit a confirmed booking / change the host (organizer)

Here is how to change the details of a confirmed booking.

You can also use these steps to change the host (organizer) of a booking to another member. To edit a booking whose organizer is another member, you need the team Admin or Owner role. You can edit bookings that you organize with the Member role.

You can change the dates of a confirmed booking via the booking list.

*Please note that for seminar bookings, you can only cancel the booking; you cannot edit the details.

Changing your booking details

You can change your booking details by following the steps below.

  1. Click the [︙] icon in the top right-hand corner of the schedule for which you wish to change the booking details.
    ​

  2. Select [Edit].
    ​

  3. Edit the items you wish to change. You can edit the following items.

    • Name

    • Dates (note that whether or not the modified date is available is not taken into account)

    • Description

    • Participants (change the host (organizer) here as well)

    • Notification recipients

  4. Click [Save]
    ​

  5. If you enter a [Message to guests] in the confirmation dialogue and click the [Send] button, the changes and your message to the guests will be sent by email.

    • If you click [Back to editing], the changes will not be saved and you will return to the booking edit screen.

    • If you click [Don't send], the changes will be saved but the email to the guests will not be sent.

This completes the editing of the booking details.

Notes on Changing Booking Details

Regarding the participation link

If you change the host (organizer), a new Google Meet or Zoom participation link is issued. For Zoom, the previous meeting is cancelled. Do not use the previous link; share the new one with your guests.

If you only change the date and time, or add or remove participants other than the organizer, the participation link does not change.

*If you change the date from [︙] > [Reschedule] in the booking list, the event is recreated, so a new participation link is issued.

The participation link that is currently valid is the one shown on the booking details screen and in the event on your connected calendar. If an older link remains in an email a guest has already received, or in a calendar invitation they have already saved, please point them to the link shown on the booking details screen. You can send it to them directly from [Message] on that screen.

About email notifications

Participants (guests)

  • Only if you select [Send] under [Send changes to guests via email?] are the changes and the participation link sent to guests by email.

  • Reminder emails include the participation link that is current when they are sent.

CC Member

  • If you select [Send], or if you change the host (organizer), the changes and the participation link are sent by email.

  • If you select [Don't send] without changing the organizer, no email is sent to CC members either.

  • Reminder emails include the participation link that is current when they are sent.

*If “Calendar Invite Setting” is turned on for the booking page, the guest has been invited to the calendar event. In that case, even if you select [Don't send], the guest may still receive the change or a new invitation from the connected calendar (for example, Google Calendar).

If you want to keep the same participation link

If you do not want the participation link to change even when you change the host or reschedule from [Reschedule], set the booking page location to “Custom” instead of “Google Meet” or “Zoom”, and enter the fixed web conference URL you want to use.

The URL you enter appears as-is in the booking confirmation email and in the booking details, so it does not change when you change the host or reschedule.

Note that Jicoo will no longer issue Google Meet or Zoom links automatically, and every booking on that page will use the same URL. If one meeting runs long, the next guest can enter the same room, so please take care when using this for interviews or one-to-one meetings.


Editing Guest Responses

You can make changes from the list of schedules.

Here are the specific steps for editing a guest’s response.

  1. Click the [︙] icon in the top-right corner of the schedule for which you wish to change a guest’s response.

  2. Click "Event Detail".
    ​

  3. On the event details page, click [Edit] under [Guest Information].
    ​

  4. Make the necessary changes to the items you wish to edit, then click [Submit].
    ​

  5. If you enter a [Message to guests] in the confirmation dialogue box and click the [Send] button, the changes and your message to guests will be sent by email.
    ​

    • If you click "Back to editing," the edit is not confirmed and you will be returned to the edit page.

    • If you click "Don't send", your edits will be confirmed, but no message will be sent to the guest.
      ​

This completes the editing of the response.
