Can I notify external contacts who are not team members about bookings?

Learn how to use the Guest Email(s) feature to automatically notify external contacts of booking confirmations, cancellations, and reschedules.

Booking confirmations, cancellations, and reschedule notifications can be sent automatically to external contacts who are not members of your team.

When an email address is registered in Guest Email(s) at the time of booking, a booking confirmation email is sent to that address immediately. Notifications are also sent for cancellations and reschedules.

Registering Guest Email(s) is available on all plans. However, on the Individual plan and for teams on a trial period that have not registered payment details, booking confirmation, cancellation, and reschedule emails are sent only to the person who booked, not to the registered guest email addresses. Once you subscribe to a paid plan and register payment details, emails sent from then on also reach the registered guests.

Registering Guest Email(s)

There are two ways to register additional email addresses.

1. Entered by the guest at booking

On the booking form, click "+ Add Guest Email(s)" and enter the email addresses of the contacts you want to notify (multiple addresses can be added).

💡 The Guest Email(s) field can be shown or hidden in the form settings of the booking page editor. If the field is not visible, please check your settings.

2. Added by the host after the booking is confirmed

  1. Open the booking details
    Open the details of the booking from your dashboard and click "Edit" in the guest information section.

  2. Add Guest Email(s)
    In the "Edit contact" dialog, add the contact's email address to Guest Email(s) and save.
    ​

  3. Send the notification email
    When saving, you will see "Send changes to guest via email?". Select "Send" and the added contacts will also receive the booking information by email.

Pre-filling via the booking page URL

By appending ?guests=email address to the booking page URL, the form opens with the contact's email address already filled in. To specify multiple addresses, separate them with commas.

Note: Because the URL contains the email address, anyone who opens the link can see the address.

What is included in the notification

  • Booking confirmation, cancellation and rescheduling emails are sent as a single email, with the email address of the person who made the booking in “To” and the Guest Email(s) addresses in “CC”. The same applies to the update notification sent when you edit the guest information after the booking is confirmed and choose “Send” at “Send changes to guest via email?”.

  • Reminder emails are sent only to the email address of the person who made the booking, not to the Guest Email(s) addresses.

  • Emails sent from “Message” on the booking details screen also go only to the email address of the person who made the booking, not to the Guest Email(s) addresses.

  • The notification email includes the booking date and time, the guest’s name, and other details.

  • The "Event details" link in the email can be viewed by signing in to a Jicoo account registered with the same email address that received the notification (accounts are free to create). The link alone does not grant access.

Difference from notification-only members

To notify members of your team, use the "Members to be notified only" feature instead. Notification members can only be selected from users who have joined your team.
