Resource function (Google Workspace)

You can link calendar resources set up in Google Workspace (you will be redirected to an external site) to your booking page, so that you can reserve appointments from the calendar resource when booking in Jicoo.

Set permissions for calendar resources (Google Workspace administrators)

A Google Workspace administrator must grant members at least “Make changes to events” permission for the calendar resources they manage.

If permissions are granted, the recipient will receive an email like the one below.

For more details about permission settings, please also refer to the following Google Help page.

Activating Calendar Resources

From the page below, select which resources to display in Google Calendar.

The resources selected here will also become available for selection in Jicoo.

Connecting Calendars

Connect to a calendar belonging to Google Workspace from the following page.

(If you are already connected, you can skip this step.)

Select a resource for your connection account (team administrator privileges or higher).

On the “Calendar & Resource Account Settings” screen, select the resources used to check availability.

Click the ✏️ icon, check the resources in the dialog, and close the dialog.

The “Resources” tab can be selected by users with team admin privileges or above.

If a member with admin privileges or above has connected resources, other members can also create resource sets on the booking page.

Resource is selected

Creating (editing) a booking page

To link resources to a booking page, configure them from the “Members & Resources” tab on the booking page edit screen.

Add resources

You can register resources from “Add” in the “Resources” section. Resource registration and editing are done in a modal window.

Configure resource details

In Resource Details, you can set the conditions for the resources you want to reserve at the time of booking.

If you add “and,” bookings can be accepted only when multiple resources can be reserved at the same time.

If you add “or,” bookings can be accepted when any of the candidate combinations in each row meets the conditions.

If resources are already registered

If resources have already been registered, you can select the ones you want to use from the resource list. From the resource list, you can register new resources, edit existing resources, and delete resources.

If you check the resources you want to use on the booking page and save, they will be linked to the booking page.

Assign based on priority

If multiple resources are selected, they can be assigned automatically based on priority when more than one is available at the same time.

For example, if both Resource A and Resource B are available, the resource with the higher priority will be assigned first.

If Google Workspace is not connected, or the resources to use have not been set

If your Google account is not connected, you can follow the guidance and connect from “Integration with Google Workspace.”

Even after connecting your Google account, you cannot register resources unless the resources to use have been selected for the connected account.

In this case, “There are no resources available” will be shown in the “Resources” section on the booking page edit screen.

If needed, you can proceed from that screen to either “Register your resource” or “Integration with Google Workspace.”

You can configure the resource selection for the connected account from the page below.

Create resource events when a booking is made

When a booking is created on a booking page linked with resources, the reserved resource names will appear in the following places:

  • Host booking detail page

  • Booking confirmation email and booking cancellation email sent to the host

  • Booking completion Slack notification

The relevant resources will also be marked as busy on Google Calendar.

If the booking is changed or canceled, the reserved resource events will also be updated accordingly.

Required permissions

A Google Workspace administrator must grant at least “See all event details” permission for the “calendar to add events to” configured by the member on the dashboard, for the calendar resources they manage.

If the required permissions are not granted, resource booking may fail.

Permissions can be configured either in the individual Google Calendar settings or in the Google Workspace sharing settings.

Please refer to the following for details.

Resources that are no longer eligible for use will not appear in the booking page setting options or be used in booking processing.

Use cases

Reserve a meeting room and equipment together

By registering a meeting room in Google Workspace together with equipment such as a projector or microphone as resources, you can reserve all the equipment needed for a meeting at once.

Prioritize preferred meeting rooms

By setting multiple meeting rooms as resources and assigning priorities, you can prioritize booking the room closest to your preference while taking availability into account.
