If bookings are not written to your spreadsheet even though Google Sheets integration is set up, the cause is usually the “setting sharing” option. This page explains which setting is used and how to check it.
First check: setting sharing
Google Sheets integration settings are saved per Jicoo account. When a booking is written, Jicoo looks at the setting belonging to the member assigned as the host of that booking.
So if setting sharing is set to “Do not share”, only bookings where the person who created the setting is the host are written. Bookings hosted by other members are not written at all. If you use automatic host assignment, it is possible that nothing is written.
To fix this, open the Google Sheets setting on each booking page and change setting sharing to “Share”, then save. This setting is stored per booking page, so you need to do this on every booking page concerned.
Which setting is used
When several members have settings on the same booking page, they are resolved in this order.
If the host of that booking has their own enabled setting, it is used
If not, a setting whose sharing is set to “Share” is used (only if the member who saved it still has Google Sheets connected)
If there is neither, the host’s own “team-wide setting” (the setting saved on the Integrations page without choosing a booking page) is used. This setting is saved per member, so a “team-wide setting” saved by another member is not used
When more than one shared setting exists, the one saved most recently is used.
A host’s own setting takes priority over a shared setting. If you want everything collected into one account’s spreadsheet, other members must not have settings (or their settings must be disabled).
When only some columns are empty
If columns such as ID and Name are written but only some columns, such as Email, are empty, the cause may be how the columns are mapped in the setting that was used for that booking. For example, if the “Email” column is mapped to “Message” instead of “Email address”, the Email column is empty for bookings where the guest left “Message” blank.
Which setting was used is decided in the order described in “Which setting is used” above. If there is no booking-page setting and none is shared, the host’s own “team-wide setting” is used, so check the column mapping in that setting.
Fix the mapping from the Google Sheets settings screen using the host’s own account (open it from “Integrations” in the dashboard for the team-wide setting, or from the “Integration” tab of Edit Booking Page for a booking-page setting). If the host cannot open the settings screen, an Owner or Admin can save a setting with the correct mapping for that booking page and turn on sharing for it. A shared setting is used in preference to the host’s team-wide setting.
When you receive a “Google Sheets integration failed” email
A “Google Sheets integration failed” email is sent when Jicoo could not write a booking, a reschedule, or a cancellation to Google Sheets. The booking itself is still accepted as usual, and the booking page is not disabled. Only the bookings that could not be written are missing from the spreadsheet. A booking that could not be written is not written later automatically. If you need it, use the CSV download on the booking list.
The email is sent to the host of that booking and to all Owners and Admins of the team.
The email shows the booking page name, the date and time, and the guest’s name for the booking that could not be written, together with the error details. Click the booking page name to open the “Integration” tab of that booking page. The email does not show the name of the spreadsheet or the member who saved the setting.
What to do for each error:
“Failed to retrieve the spreadsheet. It may have been deleted or access permissions may have been revoked.”
The Google account that saved the setting used for that booking cannot open the spreadsheet. Check that the spreadsheet has not been deleted and that this Google account still has edit access. If you cannot restore it or grant access, an Owner or Admin can save a new setting for that booking page with their own account and set setting sharing to “Share” (if the host of the booking has their own setting, that setting takes priority). This error is sent for every booking, reschedule, and cancellation until the cause is resolved.“The target sheet was not found. …”, “No spreadsheet is configured in the integration setting. …”, “No sheet is configured in the integration setting. …”
Open the Google Sheets settings screen, select the spreadsheet and sheet again, and save.“Could not find the target booking row in Google Sheets.”
This is shown when the row of the original booking could not be found while rescheduling or canceling. Jicoo looks for the row by the booking ID in the “ID” column of the sheet. Check that the “ID” column and the row have not been deleted.“Google Sheets connection is broken.”, “You do not have enough permissions to link to Google Sheets.”, “Failed to verify the Google Sheets connection token. Please reconnect.”
The member whose connection is broken should click “Reconnect” for Google Sheets on the Integrations page. Until it is reconnected, writing keeps failing, but the “connection is broken” and “not enough permissions” emails are sent only the first time. If the member has left the team or cannot reconnect, an Owner or Admin can save a new setting for the booking pages concerned and set setting sharing to “Share”.
Other members’ settings are not shown on the admin screen, so you may not be able to tell which spreadsheet or whose setting is the cause. In that case, please contact support with the booking page name and the date and time shown in the email.
Which Google account writes to the sheet
Writing is always performed with the permissions of the Google account that saved the integration setting.
The host of the booking therefore does not need permission on the spreadsheet, and does not need to connect Google Sheets integration in Jicoo. Grant them view access on the Google side only if you want them to see the contents.
Where the spreadsheet can be stored
You can keep the file in a Google Workspace shared drive or shared folder. The only requirement is that the Google account that saved the setting keeps edit access to that spreadsheet.
Moving the file after saving the setting does not break the integration, because the spreadsheet ID does not change. However, writing stops if the file is moved to a shared drive that the account is not a member of, or if the account is reduced to viewer access.
Also note that the spreadsheet picker only lists files the account has edit access to.
Other things to note
After you change a setting, it applies to bookings made after the change. Existing bookings cannot be written retroactively (please use the CSV download on the booking list instead)
Other members’ integration settings cannot be viewed from the admin screen. Please contact support if you need to check them
The Google Sheets setting screen can only be opened by accounts with the Owner or Administrator role
Disconnecting Google Sheets on the Integrations page does not remove the settings saved for each booking page or the “team-wide setting”; they keep being used. Bookings hosted by the member who disconnected are no longer written, and if that member had set sharing to “Share”, that setting is no longer used for bookings hosted by other members either. If you have disconnected by mistake, connect again and the settings will be used again
